Check the references
before the sale.
A photograph can look right while its filename points to the wrong lot. Check the catalogue and your filename list together before changing a live listing.
This guide uses our deliberately flawed four-lot synthetic CSV, filename manifest and actual generated report. It is an example, not a customer case or a result from an auction platform.
1. A referenced file is missing.
The framed print on CSV row 3, lot 102, references 102-front.jpg. That filename is absent from the manifest. Check the original folder and export: was the image omitted, renamed or never created? Restore the right reference or supply the right file only after checking the source. A missing filename does not prove the photograph itself is missing.
2. One lot ID appears twice.
Both the framed print and the desk lamp use lot ID 102. The report records two occurrences. Confirm the intended numbering against your source catalogue before assigning distinct IDs. Do not automatically renumber a live auction: bids, descriptions and other references may depend on the existing identifiers.
3. One filename is shared across lots.
101-front.jpg appears on lot 101 and lot 104, at CSV rows 2 and 5. This is a review flag. A shared group photograph or a reference image can be intentional. Open the source photographs, compare the intended items and keep deliberate reuse when appropriate. Different filenames with identical image content will not be detected by this filename-only check.
What about the extra file?
The manifest also includes unused-detail.jpg, which no sample lot references. It could be an omitted detail image, a spare photograph or a file from a different export. Review it; do not delete it merely because it is unreferenced.
Keep the originals. Recheck a copy.
- Keep an unchanged copy of the catalogue export and the filename manifest, with their date and source.
- Work on copies. Record which row, identifier or filename changed and why.
- Confirm image choices visually; the checker only compares text references.
- Run the corrected copies again. Review remaining flags before making any separate, authorised changes to live listings.
